Project budget: 1200 currency units.
Need a WordPress developer with experience in API integration and payment systems.
It is important that this person knows how to:
-Work with WordPress + WooCommerce + SimplyBook
-Set up API integrations (WhatsApp, Twilio, Zoho CRM)
-Work with Stripe (payment integration + security)
-Set up a responsive version of the site
-Set up notifications and automation through Zapier
Ideally, the developer should understand marketing (to immediately set up conversion CTAs and a convenient booking funnel).
Please read the technical specifications carefully and everything that needs to be implemented:
The site is intended to describe activities, advertise, and organize bookings for services provided on a sailing yacht, which will be docked at one of the marinas in Barcelona.
We are building the site on WordPress from scratch.
We already have a logo, corporate colors, icons, design options for section blocks, as well as fonts that we will use in the site design. In other words, design is not needed. We have everything completely.
There is a structure of how the main page of the site should look and what, as well as where it should be located. All sections are also prepared for description.
It is necessary to provide the ability for us to add any new section to the site from the admin panel, as well as any text, video, and graphic images, including adding and changing the prices of all services. Also, templates for creating new sections through the admin panel should be provided. We add a WYSIWYG editor for convenient text.
The site will be in 2 languages (Russian as the main language, and English) with the ability to switch between them.
The site will be made responsive for mobile devices. Also, it is necessary to optimize the site (speed, SEO).
A calendar will be integrated on the main page, where visitors can select the date of the tour they are interested in.
Here, on the main page, there will be an option to choose a yacht tour of different durations and pay for it using the Stripe payment system (using plugins for WordPress).
The site is being created for one sailing yacht, which will operate at this initial stage, but we must provide for the possibility of scaling and adding one or two more yachts in the future.
Site structure:
Main
On the main page, we place a video that will be located in the first block and play automatically in mute mode. But we need to add a "Turn on sound" button so that interested users can watch the video with sound.
We add our slogan to the placed video, executed in white font, which I will provide. The slogan will smoothly appear on the video.
"Get a consultation via WhatsApp" - we fix it in the right corner of the screen (using the Click to Chat plugin, Official WhatsApp API + Twilio API).
Under the slogan, we then create a CTA button:
-"Choose a tour and book" (we will provide the button color)
-"View routes" (a semi-transparent button with a border)
Then there is a small rectangular block, which will contain advertising text.
Next, there will be blocks with tours (a total of 9 different tour offers, three per row)
Then we place a CTA button under the block: "Calendar of available dates" and "We will help you choose the perfect route - write to WhatsApp".
We add a description of what makes our tours special.
Then there is a description of what else we offer and we add an active button here:
Ready for a big adventure? Discover new horizons aboard the yacht!
[I want to go on a week-long tour] (we make the button active on the tour site)
Then another one of our services and another CTA button
Then, information on how to find us and a form to send a message to our manager right here:
(Insert a form to send a request: name, email, phone, message text + "Send" button)
Then the process of booking a specific tour selected by the visitor occurs:
The visitor selects a tour by clicking on the block and enters the calendar, which opens right here on the main page in a pop-up window (modal window), without going to another page.
The calendar will automatically display only available dates for this specifically selected service.
From the admin panel, we will be able to independently regulate free dates, making them busy, as this site will be linked to another site (our separate project related to organizing yacht practice on this same yacht from the yacht school). Thus, dates occupied by our other tours or practices, will automatically be unavailable for booking.
After selecting a date, the client will have the option to choose the time of the tour (only for daytime tours lasting 3 and 5 hours). For this, we will divide daytime tours by time and provide the client with the option to choose a daytime 3-hour charter, for example, from 10:00-13:00.
The visitor selects a free date, books it, and before proceeding to payment, he enters his Name, Email (to receive confirmation), phone number (for contact via WhatsApp), as well as the number of guests planned to be on board (for this, there will be an option). This will not be registration on the site, but the data entered in the form will be sent as a notification to our manager, who will add the booking to our system CRM.
The client will also be able to add special requests:
-"Mark a birthday", "Need a children's life jacket"
-Will also be able to add additional services (champagne, snacks, guide)
Then the client pays for the tour on the site, as we will connect the payment system Stripe.
After payment, he preceives confirmation and notification by email + in WhatsApp (data is transmitted to Twilio API and the client receives an automatic notification). The notification will contain the following message: "Thank you for your booking! Your tour is confirmed: Date: July 12, Time: 10:00, Meeting place: Marina Olympic, The manager will contact you a day before departure!" (integrated through the WP Twilio SMS plugin).
Since we will be using ready-made plugins SimplyBook, we provide the ability to add the booked tour to the client's calendar. The project uses SimplyBook, so Twilio can be connected directly in the SimplyBook panel.
Then we implement an automatic reminder: a day before the tour, the client receives a notification by email + WhatsApp reminding them of the tour. SimplyBook has such a function.
If the client filled out the form but did not complete the payment, an email/WhatsApp message with a reminder will be automatically sent to him after 6 hours. This is configured in Zoho CRM (with the official Zoho CRM plugin for WordPress) and also in Stripe. The second reminder will be sent to the client after 24 hours.
If the yacht is busy on the days the visitor wanted to choose – the system offers alternative dates (the nearest available dates). For example, if the visitor wanted to choose July 15, but on that date we already have a weekly charter booked, then that day will be blocked in the calendar, and theclient will immediately see the nearest available dates.
Dates will be automatically updated to avoid double bookings.
A "booking threshold" will be set, whereby the client cannot book and pay for the charter later than 12 hours before the start.
If the date is unavailable, the client will see the following pop-up message:
“This date is unavailable, but we have availability on XXX”
Leave a request, and we will find the best option!
The manager will see the booking in the online booking system SimplyBook - we set it up and synchronize it with the Zoho CRM system. This needs to be done through Zapier.
For special requests (multi-day tours, corporate events, yacht tours to the Balearic Islands, and special events on the yacht), it is necessary to provide the ability to send a request via WhatsApp and instead of the "Book" button, there will be a button "Send a request to the manager", after which aWhatsApp chat with our manager opens. The manager will check the availability of the yacht for the dates and times requested by the client in real-time, will clarify the details, and, if the date is confirmed, will send the client a link to pay via Stripe manually. Then our skipper will receive a notification of the new booking (configured).
