    1. Client's task

    The client needed an automated tool that:

    • helps tourists quickly find apartments in Tenerife;
    • checks real availability dates automatically;
    • shows suitable options with living conditions and costs;
    • sends a complete application to managers for further communication and booking.

    The main goal is to reduce the workload on managers and speed up the application process.

    2. Implemented solution

    I developed a smart chatbot for Facebook Messenger that fully guides the user from searching to booking confirmation.

    3. How the bot works

    1) Launch

    The user types the keyword “Search Apartments” or clicks the corresponding button.

    2) Gathering accommodation parameters
    The bot sequentially asks for:

    • check-in date
    • check-out date
    • number of adults
    • number of children

    3) Checking apartment availability

    • The bot analyzes the database from Google Sheets
    • Checks occupancy through the iCal file (integration with LitePMS)
    • Filters only available options for the specified dates

    4) Providing suitable apartments
    For each option, the bot shows:

    • photo
    • name
    • description
    • link to the property card on Facebook
    • final cost for the selected period

    The user receives all suitable options in a row (up to 10 options)

    5) Preparing the application
    After the last option, the bot offers to make a booking.

    6) Sending the application to managers
    When clicking “Book now,” the bot automatically sends a detailed notification to a closed Telegram group:

    • user data
    • search parameters
    • request number and date
    • two convenient buttons for managers: “Go to chat with the client” and “Open Google Sheet with full request”

    7) Contact with the manager at any moment
    At each stage, the user can press the “Ask a manager” button — the application immediately arrives in Telegram.

    3. Results for the client

    • 100% automation of initial communication with tourists.

    • Time savings: manual availability checks are no longer necessary.

    Chatbot "Food Order from Restaurants"

    Access to the bot through a mini-landing page, where the user can choose a convenient messenger for communication with the bot - Telegram or Viber.

    In the bot, the user can place an order at their favorite restaurant by "adding to the cart" any dish from 185 items presented only in one restaurant. The user can adjust the dishes they have added to the cart at any time. They can order utensils and leave a note for the kitchen and the courier.

    Right in the bot, the user can make a payment through the connected payment system WayForPay or choose to pay upon receipt to the courier (available only to regular customers and those not on the "blacklist").

    After placing an order, the bot automatically sends notifications:
    • The 1st goes to a closed Telegram chat of the specific restaurant, with a list of dishes, necessary utensils, and comments from the customers, so the kitchen can start fulfilling the order.
    • The 2nd notification goes to a closed Telegram chat "Couriers," also with a list of dishes, the name and geo-point of the restaurant, and the contact details of the customer along with their geo-point.
    • Simultaneously, the data on the formed order is exported to a Google spreadsheet.

    The bot also calculates the delivery cost of the order from a specific restaurant depending on the customer's geo-location, as well as taking into account the weather coefficient, and adds the delivery cost to the total bill. The bot has the option to tip the courier.

    The user has the ability to ask a question to the manager. Upon the appearance of a question, a notification is sent to a special closed chat with the managers, indicating that a certain user has asked a question, and the manager can immediately start answering the question through an active button in the notification.

    The bot presents the company's competencies and shows the advantages of ordering meter verification specifically from them. It then takes the order from the User by asking questions regarding the expected scope of work.

    As soon as the next order is placed in a special chat with managers, a notification with all the technical details of the order, as well as the contact information of the Customer, "drops" in. Simultaneously, the newly formed order is uploaded to Google Sheets.

    Order clothing from catalogs from Europe and America

    The client needed to automate the process of accepting orders for clothing delivery. It was not possible to create a regular store with a cart within the bot itself, as the client's business model implied that the user could choose any model from any catalog and order it for delivery to Ukraine.

    1. At the beginning, the user enters the Main Menu with transition buttons "Place an order", "Shopping rules", Rates, etc.

    2. By clicking the "Place an order" button, the bot conducts an initial survey of the user and "finds out" which specific model and from which catalog they have chosen, asking them to specify the required size and color of the selected model. Thus, the user can form a cart, filling it with desired models and send it for calculation to the Manager.

    3. The formed order is assigned an individual number by the bot, as well as the date and time of order formation. Then it uploads this order to Google Sheets, along with the user's personal data.

    4. The manager enters the cost of the order in Google Sheets next to the order. The bot "fetches" this data from the table and sends it to the user with the card number to which payment should be made and payment instructions.

    5. After payment, the user sends a screenshot of the receipt in the chat. The manager receives a notification that the order has been paid.

    6. The manager confirms the receipt of money and changes the order status in Google Sheets to "Paid". The bot "fetches" this data from the table and sends the user a confirmation of successful payment. At the same time, the bot sends a notification to another group - "Warehouse", that the order has been paid and needs to be ordered and delivered.

    7. After the actual delivery of the goods, the Warehouse Keeper changes the order status in Google Sheets to "Delivered" and the bot similarly "fetches" the new status and sends a notification to the client.

    8. The bot also has the capability for the user to ask a question to the manager at various stages of the funnel. The user's question "drops" into the Managers' chat along with an interactive button, through which the manager can immediately switch to the chat with this user.
