Budget: 2500 UAH Deadline: 4 days

Good day.

I will build a system in Notion according to your construction schedule: a database of "Tasks — Directions — Responsible" on relationships, a Timeline with dependencies, statuses, deadlines, and priorities, filtered views for each role, and a Dashboard with progress on directions.

The transfer is done not manually, but via a script through the Notion API — all positions along with dates, relationships, and executors are uploaded from your file (Excel, MS Project, or Google Sheets). A large schedule does not turn into a week of manual entry, and re-importing after edits takes minutes.

Regarding experience: we build accounting and management systems based on databases and integrations — CRM bots for small businesses, reporting tools on Google Ads API, connections between Google Sheets and Drive for order accounting. There are no cases specifically in development companies in my portfolio, and I won't make anything up. Instead, I am ready to create a mini-example for free with 5-10 lines from your schedule so you can see the structure and timeline before making any decisions.

Cost: 2500 UAH for turnkey setup. This is a starting price; I am gathering initial reviews on Freelancehunt, so I am offering a good deal. Deadline: 4 working days from the moment the file and access to the workspace are provided.

Honestly, I don't have a case specifically with a construction company in Notion — I judge based on what you described and from working with complex databases. Therefore, I suggest not promises, but a practical test.

What I see as the main risk: the construction schedule relies on dependencies between tasks (foundation → frame → roofing), and Notion does not build timelines with dependencies out of the box. If you simply upload a task list, you will get a nice picture that won't recalculate when the contractor shifts the deadline by a week. Therefore, the main work is not transferring but structuring.

Here's my proposal:
1. One database "Tasks" with fields: direction, responsible, planned start/end, actual, status, priority, depends on (relation to itself), progress. Separate databases "Directions," "Performers," "Objects" — so that filters and dashboards work, not just as decoration.
2. Representation: Timeline by directions, Board by statuses, Calendar for upcoming deadlines, Table for bulk editing. Filters "my tasks," "overdue," "this week."
3. Formulas for what otherwise would be calculated manually: delays in days, progress of direction from closed tasks, highlighting tasks that block others.
4. Dashboard: status by directions, overdue, next 14 days, workload of performers.
5. A short instruction for those who will continue this — so the system doesn't fall apart after a month.

I already have a practically ready similar system in Notion that can be quickly adapted and launched - we can discuss the details now in the chat of the marketplace, I am available.

Estimated cost - 38,000 UAH
Deadline - 7 working days after receiving the schedule and access.

The AI assistant can detect overdue tasks and risks daily; it can be included as a separate optional stage.

How many tasks and responsible persons need to be transferred approximately?
Are dependencies between stages and automatic shifting of subsequent deadlines needed?

Good day, Olga.

Straight to the point — here is the structure I propose. Please check if it matches how you manage the project:

Three databases:
1. "Works" — the main one. Fields: name, direction (finishing / engineering / facade / landscaping), stage, responsible, contractor, start date, end date, duration, status, priority, % completion, dependency "after which work."
2. "Directions" — to group works and each direction shows its aggregated percentage.
3. "Performers / contractors" — connection with works to see the workload of each.

I will transfer the construction schedule to Notion: a database with directions, responsible persons, statuses, and deadlines.

I will create a Timeline, filters, and a Dashboard for progress tracking. I am not sending examples but am ready to demonstrate the approach on a small free fragment.

Deadline: 4 days.

Hello!

I have worked with setting up Notion and integrating the platform with third-party services — databases, relationships between them, automation through API/Make.com.

I haven't handled similar projects specifically for construction, but I am ready to take on the task and structure the system from scratch according to your specifications — the principles of building timelines, statuses, dependencies between tasks, and dashboards are the same regardless of the industry.

Work plan:

- Transferring the current schedule to Notion with structuring by construction areas;
- Database of tasks with fields: responsible, status, deadline, priority, direction;
