Accounting table for a small network of flower shops
Goal: reduce the number of "manual" operations, organize a convenient and visual accounting of income and expenses
What was done:
1. Sales and expense data at various points were manually entered by employees into the Google sheet "Stores"
2. The manager manually transferred the summary data by income/expense categories to the Google sheets "Advertising" and "Operations" (financial summaries were calculated in this same sheet, but not all expenses were taken into account in the formulas)
What has been done:
1. Set up automatic transfer of necessary data from the "Stores" sheet to the "Advertising" and "Operations" sheets and data from the "Advertising" sheet to the "Operations" sheet (this sheet was chosen for maintaining summary accounting)
2. Organized the entry of data on business operations: created a sheet with directories "Operations," "Suppliers," and balances at the beginning of the year for each of the items; created a sheet for entering operations with convenient drop-down lists, which excluded the possibility of incorrect entry of the counterparty or operation name
3. Created a dashboard sheet for automatic output of summaries with the ability to select a specific time interval (sales by sources; cash flow; advertising metrics; calculations with suppliers; expense structure)
4. Created a sheet for automatic formation of annual summaries, where income and expenses are displayed by sources and the status of calculations with suppliers by month
Result:
1. The manager received a transparent and accurate accounting system for income and expenses — both for a specific period (day, week, etc.) and in dynamics over the months of the year
2. The volume of "manual" operations has been minimized, and working with the sheets takes less time.
