AI Sales Assistant Chatbot with Live Handoff — Flowise & n8n
A software consultancy was losing potential leads due to a simple gap — website visitors had questions about services, rates, and past work, but had no immediate way to get answers outside business hours. Sales managers were spending time on repetitive qualification conversations instead of closing deals.
The business needed something that could represent the company intelligently, stay strictly within approved messaging, and know when to hand the conversation to a human.
I acted as both Automation Engineer — defining the guardrails, knowledge structure, and routing logic before writing a single line of automation.
The solution is a RAG-powered AI assistant built on Flowise, giving the client full ownership over document vectorization and knowledge base management. The bot answers questions about case studies, engagement models, hourly rates, tech stack, and company credentials — without improvising or making commitments it shouldn't. When a visitor is ready to book a meeting, the bot detects their region and routes them to the correct regional calendar in HubSpot. When a human is explicitly requested — or the conversation exceeds the bot's scope — the system automatically assigns a manager and sends a notification via Chatwoot. The full orchestration and handoff logic runs through n8n.
The result is an always-on sales assistant that qualifies leads, books meetings, and escalates intelligently — freeing the sales team to focus on conversations that actually need them.
