Development of an intelligent Telegram bot for the online store "Creative Workshop"

Client: "Creative Workshop" - a Ukrainian brand specializing in the creation of exclusive handmade wooden products: from personalized photo frames and perpetual calendars to complex themed gifts.

Task:
The store faced a high volume of incoming requests in messengers that required constant manager involvement. Customers often asked standard questions about product selection, availability, and custom orders. It was necessary to:

Automate the process of initial communication with customers.

Offer a convenient tool for selecting products from a wide range.

Organize uninterrupted collection of applications for custom orders even during non-working hours.

Maintain a personal approach and increase customer loyalty.

Solution:
A multifunctional Telegram bot @kreative_hand_made_bot was developed and implemented, created on the automation platform n8n.

Key functions and logic of the bot:

Greeting and navigation: Upon first launch, the user receives a clear description of the bot's capabilities. A menu with commands (/start, /category, /ai) is implemented for navigation.

Intelligent assistant (AI):

The /ai command launches a dialogue scenario with the AI agent (based on DeepSeek).

The agent asks the user clarifying questions (reason, budget, preferences) and based on the answers recommends suitable categories or specific products from the website, providing direct links to them.

Product catalog: displays a structured list of main product categories (e.g., "Children's photo frames," "Perpetual calendars," "Clocks") also with direct links to the website, which speeds up the selection process.

Collection of custom orders:

If the ready-made solutions do not suit the client, the bot offers to leave a request for a custom order.

The bot requests all necessary details: essence of the idea, contact information.

The collected information is formatted into a clear message and automatically forwarded to a closed chat of managers for further processing. This ensures that no application is lost.

Communication with the manager: The bot clearly distinguishes between automated tasks and those requiring human involvement. It informs the user when their request has been forwarded to the manager and asks them to wait for a response.

Technical implementation:

Stack: n8n (main platform), Telegram Bot API, DeepSeek API (for AI assistant), Webhooks.

Architecture: Complex workflows were built in n8n to process incoming messages, commands, and callback requests from buttons. The logic of dialogue with the user, integration with AI, and automatic sending of notifications were configured.

Results:

Reduction of the load on managers: Up to 70% of standard requests are now processed automatically by the bot.

Round-the-clock acceptance of applications: Ability to accept orders and consult customers 24/7.

Increase in conversion: A convenient and quick way to select products through AI shortens the customer's path to purchase.

Improvement of customer experience: Users receive instant responses and a clear algorithm of actions, which increases satisfaction with the service.
