    Client: online music school for children and teenagers

    Task: collect contacts of people visiting the website. Set up operations for these clients without overloading the sales department.

    Result:
    - configured automatic data collection from website visitors,
    - configured segmentation of contacts based on their interests,
    - automatic personalized emails for each lead
    - tracking responses to emails. Depending on this, either assign a task to the manager in CRM or continue the email series.
    That is, managers start working with ready-to-buy people. This reduces the time spent working with the client and provides better conversion.
    - Separately configured automation in Hubspot CRM - where the lead is assigned to a specific manager, a task is created, and moves further down the funnel.

  • Parsing emails, creating a dynamic HTML template

    Data Parsing
    Client: A company of realtors

    Task: track when the right email arrives in the mail, find a link to the building's page in it. Transfer the data from the page (the description and link to the photo are generated using JavaScript) to a new email template (in the form of HTML).

    Main difficulties:
    * The content on the site was generated dynamically via JavaScript, which meant that standard methods of retrieving data via Zapier did not work.
    * The link in the Outlook email was not in its final format and was changing before the pages loaded.

    How I solved the problem:
    - I used Zapier + Outlook to automatically detect emails and extract links.
    - I set up an additional URL processing step to get the correct link to the site.
    - Since the content was loaded via JavaScript, she used an alternative method of collecting data from web pages that could handle dynamic elements.
    - I set up the data transfer to an HTML template in Outlook with the correct display of the content. Personalized the email. The finished template is saved in Outlook drafts.

    I provided an option if the link does not work.

    The main work was with:
    - Webhooks - for data transfer and processing.
    - JavaScript + Code by Zapier - to work with dynamic website content.
    - HTML + CSS - to create the final email template.
    - Regex (Regular Expressions) - to process the text and clean the received data.


    The result:
    The client receives ready-made email templates!

  • Transferring data from Jotform to Trello

    Data Processing
    Client: Online course school

    The task: as soon as the client fills out the Jotform, transfer their data to Trello. Note that there are 17 different courses that can be selected in the form. That is, the client should go to the appropriate board in Trello. For example, a client chooses course 16, he/she is sent to board 16 in Trello.

    Solutions:
    1. Create and set up a Jotform to collect leads.
    2. Set up boards in Trello for all courses. Created custom fields for business needs.
    3. I connected Make.com. I connected Trello and Jotform to it.
    4. I set up data transfer automation: as soon as a client fills out the form, Make checks whether it's a new contact or one that already exists in Trello.
    If it's an old one, we combine all the cards for this client into 1, and transfer the data from the form.
    If it's a new lead, we send the data from the form to the card that corresponds to the selected course.

    The result: simplified lead management, elimination of duplicates, and improved workflow with warm leads.

    Despite the fact that the data needs to be sent to 17 different boards, the scenario is configured without branching, which helps to keep operations in Make. This setup works perfectly when the logic for each course is the same.

  • Automation for booking apartments in ActiveCampaign

    Email Marketing
    Business: a chain of apartments for booking in several cities in the Netherlands.

    Initial Issue: to set up a personalized email campaign for those who have not booked a room.

    The result of cooperation: Collected data from potential and booked clients. Leads now receive personalized emails at the right time, improving booking management and increasing reservations. Those who have made a reservation will receive the next letter in 9 months.

    Solution:
    1. Analyzed visitor behavior via Google Ads. Based on this, I created a customer journey map. It showed how people behave when choosing an apartment.
    2. Created 2 lead capture forms and integrated them into ClickFunnels. I created a unique offer for each form. This allows you to collect interested leads.
    3. Built email sequences for each city, sending room info based on customer actions. Covered cases where customers browse multiple rooms or hesitate to book.
    The logic after filling out the form on the first day: if a person visits the city page, the corresponding automation is launched.

    Іn 3 days this automation checks if the person viewed the city’s page.
    If yes, it tracks which apartments they visited.
    If not, a similar automation starts for another city.
    If a person views multiple apartments more than three times, a different email sequence is triggered to address potential objections or concerns preventing them from booking.

    In any case, only one sequence is sent about one room—they won’t receive multiple emails about every room they checked.
    No matter where they are in the automation, once they book, all automations stop. They receive an email with dynamic details about the booking, including time, location, and other relevant information.

    As soon as a person makes a booking, they are put into another automation that will automatically start 9 months after the first booking.

  • Sync Contact Data between ActiveCampaign and HubSpot using Make

    Task: Sync contact data between HubSpot and ActiveCampaign.

    Solution: I created a custom field for contacts in AС (the initial service) and HubSpot. In Make.com, I set up a webhook to receive data from ActiveCampaign. There are two scenarios:
    -for an existing contact in HubSpot,
    -for a new contact.
    We update the data and automatically insert a link to this contact in HubSpot into the custom field in ActiveCampaign. In HubSpot, we insert a link to the contact from ActiveCampaign.
    Result: Necessary fields are updated, and we have quick access to the contact regardless of the service used
