Request for Work Evaluation - Server Solution for Shift Scheduling

Task

Create a server solution for scheduling work shifts. Technologies (database, backend, framework) - proposal from the contractor.

Scale:

• about 100-120 employees (agents)
• about 50 locations
• locations divided among regional group leaders
• simultaneous work of up to 10 users in the system

What the system should be able to do

Data Storage

• Employee records (personal data, documents, qualifications, contracts)
• Location records (addresses, work schedules, qualification requirements)
• Schedule templates for locations (with versioning for changes)
• Assignments of employees to shifts
• History of all changes

Availability Collection (DISPO)

• Web form for employees, filled out via individual link
• Double grid day/night by days of the month
• Automatic saving of responses in the database
• Summary screen for managers: who has responded, who has not
• Automatic reminders for those who have not responded

Work Information for Group Leaders

Each regional group leader sees:

• their locations and schedules for them (full management)
• availability of all company employees (for candidate selection)
• the engagement of the required employee in other groups in read-only format
• the work history of each employee by locations (for the last 6 months)
• a calendar of the month with the ability to adjust

The chief manager and operators of the central office see everything.

Automatic Mailings by Scenarios

• Notification to the employee about the assigned shift (indicating location, date, time)
• Reminder about availability before the start of the new month
• Notification about changes to previously assigned shifts
• Notification about shift cancellation
• Schedule of scenarios is configured in the system

Mailing channel: WhatsApp (through the existing bot, API available) and/or email.

Multi-User Mode

• Simultaneous work of several users without overwriting each other's edits
• Protection against logical conflicts: one employee cannot be assigned to two locations at the same time
• Real-time visibility: others' changes appear on the screen automatically
• Role-based access: each sees and edits only what is allowed by their role

Security and Reliability

• User authentication with password protection
• Audit log: who changed what, when, what data was before and after
• Automatic database backup with recovery options
• Protection against common attacks (SQL injections, XSS, CSRF)
• HTTPS for all connections

Reporting

• Monthly summary report by locations (plan, fact, deviation)
• Monthly report by employees (hours, breakdown by shift types)
• Export to Excel
• Printed schedules for each location

Import of Existing Data

• Transfer of the current database to the new server solution
• Preservation of all relationships, history, versions
• Validation of report matching before and after transfer
