Introduction

RERA LTD is a property and agent search service in Cyprus. More detailed information about the service is here: https://rera.cy.

We are working on our admin panel, and internally we want to implement a task section (in the form of a kanban board) - a prototype of this section is what we need (+ a prototype for viewing tasks).

Key factors for winning the competition:

- any additional ideas

- any additional screens

- detailing the prototype

Ultimately, this will not be the end, as we are also looking for a designer to work on the admin panel and CRM within the admin panel as a whole.

Technical Assignment

Goal

Optimize the process of moderating listings, handling complaints, license applications, and user requests. Implement a user-friendly interface for visual control and management of all moderation tasks using a kanban board.

Main Requirements

1. Task Functionality

  1. Creating tasks:

    • Tasks are formed from moderation events:

      • New listing for moderation.

      • Complaint about a listing.

      • Complaint about a user.

      • Complaint about a review.

      • Complaint about an article.

      • Application for agency registration confirmation.

      • Application for agency license renewal.

      • User request (questions, clarifications, suggestions).

    • Ability to manually add tasks for internal needs (e.g., tasks for document verification or conducting audits).

  2. Task structure:

    • Title: brief description of the task.

    • Task ID: unique identifier for easy searching and tracking.

    • Deadline: the date by which the task must be completed.

    • Priority (low, medium, high, highest).

    • Executor: assigned performer (moderator or group of moderators).

    • Source: source (listing, complaint, user request).

    • Status: task status (see Kanban board).

    • History: complete history of changes (what, who, and when changed).

    • Attachments: attachments (screenshots, documents).

2. Kanban Board

  1. Task statuses:

    • Todo (new task)

    • In work (in progress)

    • In review (awaiting confirmation)

    • Done (completed)

  2. Kanban board columns:

    • Todo (new task)

    • In work (in progress)

    • In review (awaiting confirmation)

    • Done (completed)

  3. Dragging tasks:

    • Support for drag-and-drop to move tasks between columns.

    • Automatic status change of the task when moved to another column.

  4. Filters and sorting:

    • By priority.

    • By deadlines.

    • By assigned moderators.

    • By task type (listings, complaints, user requests).

  5. Task fields in columns:

    • Title

    • Task ID

    • Deadline (highlight in red if the deadline has passed, next to the remaining time until the deadline)

    • Priority

    • Executor

    • Source

3. Notifications and Automation

  1. Notifications:

    • Push notifications in Telegram:

      • When a new task appears.

    • Push notifications in E-mail for the user:

      • When passing moderation.

  2. Automation:

    • Closing the task after passing the moderation of the listing

    • Reopening the task after a repeated request for moderation

    • Reopening the task after a repeated complaint

    • Automatic notification to the user about the decision made (during moderation)

4. Reports

Generating reports and analytics. Details in another document: Rera Moderation System

Expected result:
After implementing the kanban board, the moderation process will become more transparent and manageable. Moderators will be able to quickly navigate the status of tasks, assign executors, monitor deadlines, and respond promptly to changes. Administrators will receive a convenient tool for controlling and optimizing moderation, as well as for analyzing the effectiveness of the team’s work.

Additional materials:

Target audience, references, and frequent actions:

Managers and technical specialists. These are all employees who will be trained while working with this system. However, it still needs to be intuitive for users who have generally worked with a kanban board and tasks. Like Jira or SalesForce (I take them as a reference only in terms of the kanban board and task card)

Most frequent actions - moderation of announcements. Within the task, it would be great if one could quickly navigate to the page related to the Source task, because there will also be some actions (for example, transitioning from a task to some source and actions with users, agencies, announcements, etc.). The moderation process in general and the metrics for moderators are attached to the task. The moderation process is something that should work very quickly. The overall goal is also indicated in the assignment)

Responsive design will only be needed for mobile, but not within this contest. Here, only desktop
