Setting up the recruitment process based on Asana
Project goal:
Set up the recruitment process for a recruitment agency.
Approach and implementation process:
… 1. Requirements were gathered from three main stakeholder groups: management, direct participants in the process (recruiters), clients.
2. Based on the requirements, a system was implemented that:
2.1. Automated task assignment for each stage of the process.
2.2. Centralized control of task execution, including for clients who could track their orders and communicate about them in the relevant space (tasks).
2.3. Displayed key performance indicators of the process, some of which were measured automatically.
The complexity of the project turned out to be above average due to the specifics of some types of recruitment applications; however, these nuances were successfully navigated by adhering to the core principles of the system.
Results:
1. Time for task assignment was optimized.
2. Company management and clients gained the ability to track project results in real-time.
3. All (!) reporting tables from Google Sheets were removed, avoiding any duplication of information.
4. Time for unnecessary communication was reduced, thanks to synchronization on a single tool and centralization of information, the updates of which were supported by the process.

Implementation of a knowledge base in the marketing department
ConsultingProject goal:
To organize a knowledge storage space for the department, with convenient and understandable access.
Approach and implementation process:
… 1. Based on the requirements of stakeholders and guided by a general understanding of the types of information that will be in the database for the implementation of the knowledge base, the Coda service was chosen.
2. Processes for document writing were planned to maintain the relevance of each of them.
3. All available information was categorized into types (multiple cuts), and depending on them, placed in the knowledge base.
A feature of the implementation can be called the system of information updating processes, which consists of cyclical and spot control and allows for systematic maintenance of information relevance.
Results:
1. All necessary information (and even more that was discovered during the information gathering) was placed in the knowledge base.
2. Feedback from stakeholders and users was positive.
3. Over time, the knowledge base grew from a storage space for information to a place for interaction on various processes (thanks to the capabilities of Coda), and the service began to be used for other purposes and projects as well.

The feature of the solution is detailed tracking of the workload of the quality department employees, which was achieved due to a high percentage of work predictability.
Result:
1. Complete systematization of the department, absolute transparency of work, and clarity for other departments.
2. Increased efficiency by 30%: due to systematization, it was possible to identify inefficiencies in processes and optimize them.

Implementation of ClickUp for the marketing department
ConsultingFor the digital marketing department, a task tracker ClickUp was implemented. The feature of the solution is a clear differentiation between project and operational activities, with separate processes for working with each.
This allowed for convenient planning, organizing, and controlling both operational work and project work (in sprints). The system worked with any proportion of operational/project work for a specific employee and the system as such (10%/90% or 90%/10% or even exclusively with tasks of one type) and was not limited in scalability.
