Executive Assistant – Manufacturing Setup & Operations Support

We are a growing company launching a new manufacturing operation and seeking a proactive, organized, and strategic virtual assistant to support the process. This role starts part-time with a focus on advising and assisting with the setup and execution of key manufacturing tasks and will grow into a full-time, in-house position by Summer 2026 .

Role Overview

As our Manufacturing Setup Advisor & Virtual Executive Assistant , you will work directly with leadership to support the planning and execution of initiatives tied to launching our manufacturing operations. You will assist with coordination, documentation, research, communication, vendor follow-up, scheduling, and strategic support throughout the setup process.

This role will:

• Start slower as you learn our business and priorities

• Quickly increase in activity as setup tasks accelerate

• Transition into a full-time, in-house role by Summer 2026 (if performance and fit align)

Key Responsibilities

• Assist with organization and tracking of the manufacturing setup process

• Communicate with internal team and external partners/vendors

• Support scheduling, follow-ups, and deadlines

• Help prepare documentation, reports, and proposals

• Research and advise on operational best practices

• Anticipate needs and proactively solve problems before escalation

• Manage email correspondence and task lists related to project milestones

• Comfortable working independently and managing priorities

• Positive, adaptable, dependable

• Experience with project coordination and/or executive support

• Bonus: experience with operations, manufacturing, supply chain, or engineering will be a strong advantage
