Mobile application
Description of the application's functionality for the manager:
1. Creating an object:
The manager logs into the application and creates a new object (for example, a building), specifying its name.
2. Assigning employees:
Employees are added to the object. An individual list of daily tasks is created for each employee. The tasks are unique for each but repeat daily.
3. To-do list format:
Example — employee: Anton
Block A – 1st floor
- Start: Button that automatically records the start time of the task when pressed.
- Tasks:
- Toilet cleaning
- Disinfecting internal door handles
- Wiping doors of cabins, locks, walls
- Cleaning sinks
- Checking and replacing towel holders (a button with a photo-instruction on how to open and replace)
- Finish: Button that automatically records the end time of the task when pressed.
Block A – 2nd floor
(Repeats the structure with separate "Start" and "Finish" buttons and a list of similar tasks)
4. Monitoring completion:
The manager can open any employee's profile in real time and see:
- Which tasks are completed
- Which are in progress
- Start and end times of each task
5. Role "Guest" (Facility Manager):
The facility manager has view-only access. They can:
- Monitor task completion in real time
- Add additional tasks or remarks (for example: "On the 2nd floor in block A, there is no toilet paper")
Such messages are displayed in the general list of remarks visible to all employees. The person responsible for the specified block resolves the issue and marks it as completed.
Description of the application's functionality for the cleaner:
1. Workday in the app:
After logging into the app, the cleaner sees the building or area they are assigned to and the list of tasks for the day. All tasks are pre-arranged and repeat daily.
2. Daily tasks — convenient and clear:
For each area, the cleaner sees a block of tasks. Each block starts with a "Start" button and ends with a "Finish" button. The start and end times are recorded automatically — no manual input needed.
Example — employee: Anton
Block A – 1st floor
• Start: (pressing records the start time)
• Tasks:
• Toilet cleaning
• Wiping door handles inside
• Processing cabin doors, locks, walls
• Cleaning sinks
• Checking and replacing paper towels
(photo-instruction available — how to open and replace the roll)
• Finish: (pressing records the end time)
Block A – 2nd floor
(Same format: "Start" button, tasks, "Finish" button)
3. Simple and transparent status system:
Each task is marked as:
• "Waiting" — not started yet
• "In progress" — after pressing "Start"
• "Completed" — after pressing "Finish"
The manager can see your progress in real time and track task completion.
4. Additional tasks from the manager or guest:
If a facility manager or supervisor leaves a remark (for example:
"On the 2nd floor in block A, there is no toilet paper"),
it will appear in the "Additional Tasks" section.
If this area is within your responsibility, you resolve the issue and mark it as completed.
Purpose of the application:
This application is created for personnel control and improving work quality in buildings (offices, business centers, and other facilities). Its main goal is to simplify accounting and control processes, eliminate confusion, increase employee responsibility, and ensure transparency for all participants.
Main tasks of the application:
- Time control — the application should automatically record when an employee starts and finishes a specific task.
- Daily tasks — each employee should have their own list of tasks, which repeats daily (but can be modified by an administrator).
- Simple navigation — the interface should be as understandable and intuitive as possible, even for employees who are not very tech-savvy.
- Real-time monitoring — the manager and facility manager can see who is doing what at any moment and add urgent tasks or remarks.
- Unified list of remarks — additional tasks (for example, complaints from the facility manager) are visible to everyone, and any responsible employee can close them by marking as completed.
- Role differentiation:
- Employee — sees their tasks, marks start and end of work.
- Manager — creates buildings, adds employees, monitors task completion.
- Guest (facility manager) — can view everything and add additional tasks.
- Maximum simplicity.
Everything should work in 2–3 clicks. No complex forms or overloaded interfaces. - Accessibility.
The app should be free to use. It should be easy to install and start using without training. - Mobile version prioritized.
Employees should be able to use the app on their phones — this is their main work tool.
