Добрый день!
Заказ должен появиться в RetailCRM в статусе новый с заполненными данными о покупателе (имя, номер телефона в формате +375292922929, e-mail, адрес доставки, комментарий) и перевестись на стороне Onliner'а в статус "Подтвержден".
Затем мы выполняем заказ и при переходе в статус "Доставлен" в RetailCRM, в Onliner'е заказ переводится в статус "Завершен". Либо отменен при отмене заказа.

С Deal.by тот же сценарий. Заказ появляется в RetailCRM в статусе "Новый" с данными о товаре и покупателе. Далее после выполнения переходит в статус "Выполнен".

По поводу остальных систем, новые заказы должны там создаваться при поступлении в retailcrm или уже настроена их интеграция с самим сайтом?
