    Извините за возможно глупость - не думали завести CRM систему и закрыть все эти вопросы раз и на всегда со всеми вытекающими? Никто из клиентов не потеряется, система сама будет напоминать администратору что и как. ДА - потратитесь на 500баксов - но навечно забудете и нечаянно файлик не убьется и не потеряется. 

    Это конечно мое мнение и могу остаться с ним и дальше, но для ВАших задач - Эксель - это уже как-то не совсем комфортно.

    И есть еще такой проект для спортивных вещей - nasport - там есть личные кабинеты, можно составлять расписания, онлайн-записи, группы перемещать как удобно. Не все элементы из Вашего запроса там есть, но.
