Automatic summarization:
identical items are summed up
filter by month / year

total volume for each item

I have reviewed the task. I propose to implement a system based on Google Sheets that will be as user-friendly as possible and protected from errors.
The structure of the file will be as follows:
Sheet "Application" (Interface): A simple form for departments. All fields (product, department) are selected from drop-down lists — this will eliminate manual input errors.
Sheet "Archive" (Database): It will work automatically. After clicking the "Save Application" button, the data will be transferred here, the date and time will be recorded, and the form will be cleared for new entries.
Sheet "Summary" (Analytics): From here, the purchasing department will see the overall picture. I will implement it through Pivot Tables with the ability to filter by months, departments, and product groups.
