Client Management & CRMThe company is engaged in the sale of food for dogs and cats under its own brand. Sales are made online: own website and marketplaces (Rozetka, Prom, OLX, Epicenter), most leads come from Facebook.
The client approached with the need to properly organize and automate the sales process, as currently all work is done in Excel spreadsheets.
… We recommended this client to choose the Ukrainian CRM program Asteril.
Within this project, the following settings were made:
Employees were added to the portal, access rights were configured.
The ORDER section was configured, namely adjusted according to the customer's order process, STATUS of orders, FIELDS in order CARDS and in clients, necessary lists were added (source, payment types, stores, warehouses).
INTEGRATIONS - one of the client's most important needs, as orders came from different sources, so everything needed to come to one place, therefore we integrated Asteril with Rozetka, Prom, OLX, Tilda, Facebook, Epicenter. Thus, the database is automatically filled, orders and leads are not lost, and the manager knows the entire sales history for each client. Also, for the possibility of sending SMS from the portal, TurboSMS was connected.
AUTOMATIONS: automatic SMS sending, automatic task creation when there is no answer from the client; if the client does not respond promptly after receiving the price list for the goods; if the client does not pick up the parcel from the post office in time; also, after a successful sale, a reminder to the manager to offer the client a repeat order after a month.
DELIVERY: integration and configuration of Nova Poshta and Ukrposhta delivery services were done. Convenient creation of TTN directly in the order card, tracking of parcel statuses, and automatic change of order status according to the delivery status were configured.
Partial import of clients from Excel and providing an example of the file format to which the entire Excel-based database needed to be converted for successful import into CRM.
The client was also provided with a detailed description of the settings in text format and video instructions on using the CRM program Asteril.
Thanks to the use of CRM, the manager's work process of controlling the entire sales cycle has been reduced to the following steps:
When a new order comes in, call the client to clarify the order details.
If necessary, adjust the necessary information in the CRM.
Manually move orders through the corresponding statuses (in progress, price, no answer, shipment) and if necessary, perform tasks created automatically or manually.
Before handing over to the delivery service, create TTN directly in the order card (some data will be automatically pulled).
Once the product is handed over to the delivery service, the order will move automatically, and if any further actions are needed from the manager, an automatic task will come with a description of what needs to be done.

To bring order to sales and pre-sales preparation. The company's services were being sold, but there was no order and systematization. They described the customer's needs. Tasks for the designer were transmitted via messenger. It was extremely difficult to control the execution of such tasks. When there were 100 or more projects in progress, it became impossible.
… One of the tasks is to digitize all stages of production and create a production calendar. This task could be fully implemented only when the client switched to the Professional tariff plan.
Bitrix24 was chosen because it had been used for some time with the free version. He set tasks for himself.
During the first conversation, it was possible to discuss the processes that were in the company. Specialists prepared a demo presentation of work in Bitrix24. It was exactly what was needed.
Implementation process, project specifics:
Implementation started with CRM and sales process description.
The next stage was working with tasks and projects.
The main achievement was the formalization of production through Smart processes.
One of the implementation features is that production is not sitting at the computer, but is engaged in gluing, welding, cutting, etc. Additional training on using the mobile application was provided for this user group. Short video instructions were recorded.
For all users, a printed instruction with screenshots, descriptions, and simple navigation was prepared.
Currently, the company actively uses: Tasks and projects, Work schedules, CRM, business processes, Chats within the company.
Working with the solution. Achieved results:
CRM and Smart processes are the main tools for Eypilite. Thanks to the functionality, employees in another country were able to be connected. The adaptation process at work took three days. The manager immediately started working. Bitrix24 suggested what information needed to be obtained from the client and what information needed to be passed on to internal departments.
CRM and IP telephony allow monitoring offices in other countries.
Thanks to the work schedule and tasks, a production calendar was built and transparent workload planning was achieved.
Advantages of implementation:
Faster preparation of project cost estimates. Accordingly, the client makes decisions about work faster.
Production visually sees the workload and gaps in workload can be used for additional control and training.
Less time is spent tracking project execution...
The team became more cohesive, everyone knows what they are responsible for, and motivation to work has increased.
