Terms of Reference: Development of a Telegram bot for accounting
Project Goal:
Create a chat-bot to automate accounting interactions with clients via Telegram and email, integrated with Google Sheets.
Functional Requirements
1. Sending information to clients (outgoing messages):
- Frequency: 1–3 times a month (at the beginning of the month and quarter).
- Delivery channels: Telegram (priority), email (backup channel).
- Types of messages:
• Tax amounts payable
• Payment for accounting services
• Bank account details
• Personal greetings for birthdays and holidays
2. Receiving information from clients (incoming data):
- Via Telegram: Income amount — data entered directly into Google Sheets by the bot.
- Via Email: Receiving documents, contracts, statements. Integration with email client for automatic saving and archiving of incoming files.
3. Integration with Google Sheets:
- Automatic reading of data from the sheet to generate personalized notifications.
- Recording client income data received via Telegram into the appropriate rows and columns of the sheet.
Security and Access Control
- Client authorization via a unique code.
- Clients see only their own information.
- Data segregation by tabs or rows in the sheet.
- Data encryption, secure communication protocols.
- Two-factor authentication option.
System and Deployment Requirements
- Deployment platform: to be discussed (cloud, server, Google Apps Script, etc.).
- Interface: Telegram with buttons and commands.
- Weekly backup of the sheet and logs.
