Where to have master data. Excel in SharePoint with large volumes and multi-user access becomes a bottleneck (lock conflicts, row limits, slow refresh). I recommend using SharePoint List or Dataverse as the primary source, with Excel as a slice for users who find it more convenient. The solution at the start and migration later is worth the time.
SAP integration. The riskiest part. It depends on the version of SAP, the presence of Gateway, the rights of the service account, and the policy on premium connectors. Often, it is not about the technology but about agreements with the SAP team and the security department. We need to understand who the stakeholders are from the SAP side.
Compliance control. DAX measures (% fill of mandatory fields) are standard. Real value comes when we add a data quality dashboard: where there are gaps, who is not responding, which sources provide dirty data. This transforms the system from a reporting one to a management one.
External users. Anonymous Forms are limited in field types and validation. An alternative is Power Pages with a custom form and QR code, offering more control and branding. This is resolved based on the number of users.
How we propose to work. First, Discovery: auditing sources, talking to SAP and SharePoint owners, an architectural document with a risk assessment.
