Position Overview:
We are seeking a highly organized and proactive Virtual Assistant (VA) to join our team. As a VA for our corporate housing/furnished rentals company, you will play a crucial role in assisting with various administrative tasks to ensure the smooth operation of our business. You will work remotely and collaborate closely with our founder to maintain a high level of customer service and efficiency.
Key Responsibilities:
Customer Support:
Provide exceptional customer support via email, phone, and online chat.
Address inquiries, resolve issues, and assist customers with booking inquiries and requests.
Maintain a friendly and professional demeanor while interacting with clients.
Property Management:
Assist with property listings and updates on our website and third-party platforms.
Coordinate with cleaning staff, property owners and maintenance teams to ensure properties are well-maintained and ready for guests.
Reservation Management:
Manage reservations, including booking confirmations, modifications, and cancellations.
Coordinate with our reservation system and ensure accurate booking information.
Prepare rental agreements and invoices for guests.
Marketing and Social Media:
Assist in the coordination of content creation, social media posts and email marketing campaigns.
Monitor online reviews and respond to guest feedback.
Collaborate with the marketing team to promote our properties effectively.
Administrative Tasks:
Maintain accurate records and files related to guest information, bookings, and property details.
Assist with financial tasks such as invoicing, expense tracking, and budget management.
Handle general office administrative duties as needed.
Qualifications:
Previous experience as a virtual assistant or in a similar administrative role is a plus.
Excellent written and verbal communication skills.
Strong organizational and time management abilities.
Proficiency in using office software, including Google Workspace.
Familiarity with property management or the hospitality industry is a bonus.
Ability to work independently, meet deadlines, and adapt to a fast-paced environment.
High attention to detail and a commitment to providing exceptional customer service.
