Automation of operational accounting: from construction control to calculation
Development and implementation of a comprehensive business management system based on Google Sheets. The system replaces expensive software and combines personnel management, property control, and financial analytics in a single interface.
What has been done (Action):
I designed the architecture of the system, which includes the following modules:
Project Management: Tracking properties (residential complexes, business centers) with monitoring of profitability (goal ≥20%), Gantt charts, and checkpoints.
HR and Functional Responsibility Zones: Employee database with grading, clear distribution of areas of responsibility, and Critical Success Factors (CSFs).
Quality Control System (Defects Log): Automated system for recording violations (deadline breaches, defects, errors in technical supervision), which directly affects payments.
Automatic Payroll Calculation: Complex algorithm that calculates the final payment in one click using the formula: Salary + Bonus (based on KPIs) - Penalties.
Owner's Dashboard: Visualization of key metrics: income, progress on properties, performance discipline, and safety (0 injuries).
Technical Stack:
Google Sheets: Deep use of QUERY, FILTER, ArrayFormula, and named ranges.
Business Logic: Building the system based on management accounting and KPI motivation.
Integrations: Logic of relationships between sheets, excluding data duplication.
Result:
Transparency: The owner sees the real margin for each project and the efficiency of each employee in real-time.
Time Savings: Time spent on payroll calculation and report verification has been significantly reduced thanks to automation of inter-departmental connections.
