  • Built an HR module directly in the CRM

    Pain Points:
    1. HR processes were scattered across various services: Hurma, Excel, Telegram, Work.ua, etc.
    2. There was no single database of candidates and employees.
    3. It was impossible to track hiring effectiveness, employee turnover, or departmental workload.
    4. A lot of manual work, loss of information after candidates transitioned to employee status.
    5. Each HR system costs a fortune and does not integrate with the CRM used by the rest of the company.

    What was done?
    1. Built two full-fledged funnels: Candidates and Employees. Set up the logic and business processes that connect these funnels. Reminders for the end of the probation period or the planned start date. Set up automatic transitions between stages and funnels.
    2. Made integrations with Work.ua, Robota.ua, and a Telegram bot that automatically communicates with candidates depending on the stage and transmits necessary information to the CRM.
    3. Set up analytics (and not just this):
    - the number of candidates at each stage
    - average time to close a vacancy
    - acceptance/rejection rate
    - employee turnover by department
    - average tenure of an employee

    Result:
    1. HR works in the same CRM as other departments.
    2. Transparent analytics and personnel management in a single system.
    3. Savings of $1000+ per month on third-party HR services (Hurma, BambooHR).

  • Automatic payment verification

    Enterprise Resource Planning (ERP)
    Pain Points:
    1. Accountants and managers manually reconciled payments with invoices.
    2. Frequent errors, duplications, missed payments.
    3. A lot of time was spent searching for and verifying transactions.

    What was done?
    1. Created a payment accounting structure linked to deals and invoices in the CRM.
    2. The CRM automatically pulls in a unique code (TIN or account number) into the invoice template created by the manager.
    3. After payment, the CRM automatically receives transaction data: finds the invoice by the note, verifies the amount, updates the payment status.

    Result:
    1. 70-90% of all payments are processed automatically.
    2. Human intervention is only needed in cases of payment errors.
    3. No "stuck" invoices, complete transparency in financial reporting.

  • Automatic distribution of leads among responsible managers

    Pain Points:
    1. Leads were distributed manually — they were lost or duplicated.
    2. In case of vacations or resignations, clients were left without a responsible person.
    3. There was no control system to track who received how many leads.
    4. Some managers were overloaded, while others had no work.

    What was done?
    1. An automated business process for lead distribution in CRM was built.
    2. After creating a new lead, a queue of managers is launched; the system identifies the next one on the list and automatically assigns the lead.
    3. An additional subprocess was implemented to calculate the workload coefficient: it takes into account the number of active deals, unfinished tasks, and the employee's status (on vacation, sick leave, day off, etc.).
    4. Managers who are temporarily not working are automatically excluded from the queue.
    5. When an employee resigns, the system automatically redistributes their clients among active managers.

    Result:
    1. Distribution is fully automated — without human involvement.
    2. No lead is lost; distribution is fair and even.
    3. The company has abandoned manual control and salaries for lead managers.
    4. Client inquiries are processed 3 hours faster.
