We are a small, growing UK bakery/catering company that manages customer orders and production calculations using internal Excel production sheets. We use Sage Accounting (but we open to change) as our core financial system. Our current manual process for generating invoices from Excel and managing driver payments is highly inefficient.
We require an experienced Order Management / System Integration Consultant to implement a solution that fully automates the data flow between our production data, mobile drivers, and Sage Accounting.
Our Core Goals:
- Automated Invoicing: Data from our completed Excel order/production sheets must automatically flow into an invoicing system, creating accurate customer invoices without manual data entry.
- Seamless Sage Integration: The new invoicing/order system must integrate directly and reliably with Sage Accounting to ensure financial records are current.
- Mobile COD Collection: Our delivery drivers must be equipped with a mobile app to confirm delivery and, crucially, mark invoices as paid (Cash on Delivery - COD) or unpaid, with this status instantly reflecting in Sage Accounting.
Key Deliverables:
- System Recommendation: Advise on the best-fit Order Management/Invoicing system and Mobile App (FSM or Delivery Management) that specializes in managing structured orders (like those from a bakery) and integrates robustly with Sage Accounting.
- Data Automation: Design and implement a robust process (via Sage Marketplace App, API, or automation tool like Zapier) to automatically generate customer invoices in the Order Management system based on data extracted from our final Excel production/order calculation lists.
- Implementation & Integration: Set up the selected Order Management/Invoicing app and configure its two-way integration with Sage Accounting.
- Mobile Workflow Configuration:Configure the mobile application to allow drivers to:
- View assigned delivery runs.
- Confirm delivery and instantly update the status of invoices.
- Specifically record cash payments received (COD - Cash on Delivery), with transactions syncing to Sage.
- Training & Documentation: Provide comprehensive training for all staff on the new automated process.
