We need a freelancer to finish the setup properly: field mapping, clean workflow automation, and Shopify-triggered updates so nothing falls through the cracks. Scope (MVP, simple + automated)
Configure/optimize 2 pipelines:
• Sales (lead → qualified → quote sent → follow-up → won/lost)
• Samples (requested → sent → delivered → feedback → converted/not converted)
• Map key fields from Apollo into Pipedrive (source, job title, company, website/LinkedIn, etc.) + basic dedupe rules
Automations in Pipedrive:
• Auto-create next activity on new deals (“Reply today”)
• Follow-up reminders after “Quote sent”
• If “Sample needed = Yes” → auto-create a linked Sample deal in the Samples pipeline
Shopify automations (must-have):
When tracking/fulfillment info is added for a sample → update the Sample deal stage
When a sample is marked fulfilled/delivered → send an automatic follow-up email to request feedback (template-based)
Create a small set of email templates: missing info, quote follow-up, sample feedback follow-up
Short handover: 1-page SOP + 30-min walkthrough
Nice to have:
• Capture chat/contact form leads into Pipedrive with correct source tagging.
