Development of an automated Google Sheet for inventory accounting
It is necessary to develop a Google Sheet with automation for inventory accounting. The sheet should contain filters, color formatting for easy searching and navigation, as well as a detailed development instruction so that changes can be made in the future.
1) There should be 3 sheets:
- PRODUCT LIST: this will contain a list of all products by categories. The following fields should be included: CATEGORY, NAME, ARTICLE, SERIAL NUMBER.
- STATUS CHANGE: this should display all changes related to the product. The following fields should be included: DATE, STATUS CHANGE, CATEGORY, NAME, ARTICLE, SERIAL NUMBER (if necessary), QUANTITY, COMMENT.
- WAREHOUSE: this will contain the entire list of products and their quantities. The following fields should be included: CATEGORY, NAME, ARTICLE, SERIAL NUMBER (if necessary), WAREHOUSE, RESERVE, EXPECTED, REPAIR, APPROVAL, REPLACEMENT, TEST, GIFT, SOLD.
2) First, the PRODUCT LIST sheet is filled in with all products categorized by categories, names, and articles. A separate checkbox is placed in the SERIAL NUMBER field (the serial number itself is not specified, as it varies for each unit of product. This will be needed later for entry in the STATUS CHANGE and WAREHOUSE sheets).
3) All products and their quantities are entered into the WAREHOUSE using the STATUS CHANGE (the WAREHOUSE sheet is locked for manual entry, all data must automatically come from the STATUS CHANGE):
- in the DATE field, the date is entered, format – day.month.year.
- in the STATUS CHANGE field (you may suggest a better solution for this point), it indicates FROM à TO:
- FROM à TO: the corresponding quantity of product is subtracted from FROM, and added to TO on the WAREHOUSE sheet. For example, FROM selects WAREHOUSE, TO selects SOLD – the corresponding quantity of product will be subtracted from the WAREHOUSE field on the WAREHOUSE sheet and added to the SOLD field.
There may simply be a receipt of new products, then nothing is specified in the FROM tab, and in the TO field, WAREHOUSE is indicated, and the corresponding quantity of product is added to the WAREHOUSE field on the WAREHOUSE sheet.
- in the CATEGORY field, all product categories are pulled (in a dropdown list) from the PRODUCT LIST sheet.
- in the NAME field (in a dropdown list), all products of the selected category are pulled.
- in the ARTICLE field, the article of the selected product automatically appears from the PRODUCT LIST sheet. It should also work the other way around: if the article of the product is entered directly, the CATEGORY and NAME fields are automatically filled.
- in the SERIAL NUMBER field, the serial number of a specific unit of product is indicated, but only for those products where the corresponding checkbox is checked in the SERIAL NUMBER field on the PRODUCT LIST sheet. At the same time, the serial number is indicated for EACH unit, meaning if a certain unit of product has multiple pieces received or sold, each piece must have its own serial number. Serial numbers must also be stored so that they can be indicated during sale. It is also desirable to somehow automate this process, so that if a certain product comes in 10 pieces, it is not necessary to specify separately 10 lines for 1 piece each with different serial numbers, but rather 1 line, but with serial numbers for each of the 10 pieces (possibly hidden separately).
- in the QUANTITY field, the number of products is indicated.
- the COMMENT field is optional.
