Main goal: Transfer accounting from old programs to a unified Odoo system. Combine warehouse, sales through the website and marketplaces, customer interactions, and finances in one place.
Using Odoo out-of-the-box solutions. The implementation task is to customize standard modules and deeply integrate them with external services according to our internal regulations.
1. Warehouse and Basic Accounting
1.1. Reference Books
Prices: Create different types of prices (purchase, retail, promotional prices).
Markup system: setting markups under different conditions (markup logic is specified).
Products: Mandatory accounting by serial numbers (IMEI). When receiving goods, we record the number; when selling, we write off the specific number.
1.2. Documents and Journals
Purchases and Sales: Incoming and outgoing invoices indicating serial numbers.
Cash flow:
Incoming and outgoing cash.
Transfer of money between different cash registers.
Mutual settlements (transferring debt from one client to another).
1.3. Reporting
Debts: Who owes us and whom we owe (details by clients).
Money: Current balances on all accounts and in cash registers.
Warehouse: How much product is in stock and the history of its movements.
Profit and Expenses: Final report — how much we earned "net" after all expenses.
2. Sales on Websites and Marketplaces
Main requirement: Two-way data exchange.
From Odoo to stores: We send current balances and prices.
From stores to Odoo: We receive new orders and customer data.
Feedback: As soon as the manager confirms the order in Odoo and creates the shipment — the order status and invoice number (TTN) are automatically sent to the marketplace.
List of platforms:
Our website on OpenCart.
Rozetka, Prom, Allo, OLX....
3. Delivery and Payments
Post: Creation of New Post invoices directly from the order in Odoo. Printing labels and tracking parcels.
Receipts (RRO): Automatic issuance of receipts through the Checkbox service.
Banks: Automatic loading of payments from Privat24, Monobank, and LiqPay.
Installments: Working with "Partial Payment" (Privat/Mono) and "Pay Later" service.
4. Communication with Clients (CRM)
Calls: Integration with Binotel telephony (we see who is calling, listen to recordings in the client card).
Messengers: All correspondence from Telegram, Viber, WhatsApp, Facebook, and Instagram in one Odoo window.
Notifications: Automatic SMS via FlySMS (order status, congratulations, reminders).
Auto-actions: * Reminder to the client if they abandoned the cart.
Request for feedback after purchase.
Discount coupons and promotions for regular clients.
Control
Margin control: The system should block the sale if the manager tries to give a discount that leads the deal into the negative.
Working with returns (RMA): Clear algorithm — how the product is returned to the warehouse, how the receipt is canceled in Checkbox, and how the money is refunded through the bank.
Action logging: So that it is always possible to see who and when changed the product price or deleted the order.
Access rights segregation: the manager sees only their sales, the warehouse — only the product, the director — everything.
