Below is an introduction to the project (what already exists) + what needs to be done next.

WHAT NEEDS TO BE DONE (our vision, briefly)

1) Design a “cross-cutting” attribution scheme and mandatory fields:

- what we consider a lead, how we distinguish duplicates, what statuses/stages, which fields are mandatory.

2) Close the main gap — online booking:

- ensure the transfer of the source/campaign (UTM/click-id) to the booking and further into ROapp

- option: gateway/bridge on our domain or rework/custom booking.

3) TikTok:

- propose a working solution on how to capture leads and their source, despite the absence of chats in CRM

- minimum: event/metadata tracking and a clear procedure, maximum: automation/export.

4) Gather analytics “in one place”:

- set up exports/data collection (ROapp + advertising accounts + Unitalk)

- create a dashboard (for example, Looker Studio) and quality control: “leads without source”, “lost leads”, conversion by funnel.

WHAT WE EXPECT FROM YOU

- Proposal of your architecture/approach (how you will solve online booking and TikTok).

- Understanding what data can actually be retrieved from ROapp/Apix Drive/Unitalk and advertising accounts.

- Implementation or setting up implementation: integrations/exports/storage/dashboard + documentation.

- Result: minimal manual labor, transparent attribution, unified statistics across all channels and campaigns without loss of leads.

WHAT IS ALREADY SET UP:

1) CRM: ROapp — we manage leads/clients and work on inquiries in it.

2) Sources of leads that we use: TikTok, Meta (Facebook/Instagram), Google, Seznam, calls, online booking from the website.

3) Messages are already getting into CRM (via Apix Drive) from:

- WhatsApp

- Telegram

- Facebook / Instagram (DM)

4) Call tracking: Unitalk — connected and integrates with ROapp, attribution/accounting for calls “in general” works.

5) Online booking: available on the website, but this is an external/separate reservation system (different domain) → further booking/contact goes into ROapp.

6) A table for manual marketing accounting exists, but maintaining it manually is difficult and there is a risk of loss/errors.

7) Limitation: TikTok messages/chats do not flow into ROapp (no integration / API is limited), and there is no convenient export of these chats from the CRM interface.
