Recruitment of an administration specialist
We need support in recruiting a person for the position of office assistant for on-site work at our company, at ul. Grochowska 23/31 in Warsaw (Praga Południe).
We are looking for someone available immediately, who wants to stay with the company long-term (i.e., an employee, not an external contractor).
Who are we looking for?
Someone:
who thinks logically, can solve problems, and works task-oriented, not just ticking off items from a list,
meticulous and attentive, especially with documents and communication,
who reads with understanding and works with focus,
preferably with driving license (or currently taking a course/exams), because sometimes you will need to handle things with our car.
with native or C2 level knowledge of Polish
Conditions
Working hours: 9:00–17:00, Monday–Friday
Work hours: full-time (168 hours/month)
Employment type: we prefer contract of mandate, also possible employment contract
Salary: 36–40 PLN gross/hour
Start: available immediately
Equipment: we provide a laptop, company phone, and all necessary tools
Foreign language skills: appreciated but not required
Scope of tasks
I. Administrative and office support
Scanning, issuing, and archiving invoices (electronic and paper)
Monitoring missing invoices, email contact with contractors
Drafting letters, emails, preparing correspondence (including package pickup)
Managing team calendar, scheduling meetings (also private on request)
Organizing team meetings and company events
Updating databases (e.g., Excel)
Preparing legal and official documents (protocols, resolutions, KW applications)
Cooperation with notaries, insurers, authorities, utility providers
Shopping and ongoing supplies, contact with stores, writing complaints
II. Support in property management
Searching and verifying service companies
Assisting with rental and sales processes (ads, cleaning, rental software)
Supporting operational activities related to apartments
III. Development and optimization
Co-creating and updating company procedures
Proposing improvements and new solutions in daily work

What kind of work?
Work from our office at ul. Grochowska in Warsaw, full-time based on an employment or mandate contract — whichever suits you better. We propose an initial contract for 6 months, regardless of the chosen form. You can start as early as June.
The tasks of this position will include, among others:
keeping records of invoices and ensuring proper document flow,
creating various types of letters, resolutions, notices, announcements, and protocols,
managing calendars (owners, events),
creating calculations and summaries,
handling matters related to utility providers and insurance,
customer service and contact with clients, contractors, and authorities on behalf of the company.
What salary?
mandate contract: 36–40 PLN gross
employment contract: 5800–6400 PLN gross

What kind of person are we looking for?
Someone willing to undertake the tasks described above according to the proposed cooperation forms. Additionally, someone who:
has a valid driving license category B,
knows and uses Office package (Excel, Word) and Google Cloud solutions (Sheets, Docs, Calendar),
is eager to learn project management and CRM systems,
can tailor communication to the recipient, and high customer service standards are more than just slogans for her,
wants to perform repetitive tasks.
